Who we are

The short version

• This site sets no cookies and runs no analytics or advertising trackers. That is why you have not been asked to accept anything.
• We only hold personal data you actively give us — by calling, emailing, requesting a quote, or filling in the engineer registration form.
• We never sell or rent personal data, and we don’t use it for marketing unless you ask us to.

What we collect, and why

If you contact us about a machine

Your name, phone number, email address, company, site address and whatever you tell us about the fault and the machine. We use it to answer you, quote, attend site, and keep a service history so the next engineer knows what was done. Lawful basis: taking steps at your request before entering a contract, and performing that contract. Where you are simply enquiring, our legitimate interest in responding to enquiries.

If you use the quote calculator

You type a postcode. It is sent to postcodes.io, a free open-data lookup service, purely to get coordinates so we can estimate distance. We do not store it — the calculation happens in your browser and nothing is sent to us unless you then choose to email or call. If you use the “request a callout” button, it opens your own email program with the details filled in; nothing is transmitted until you press send.

If you register interest as an engineer

The form asks for your name, email, mobile number, home postcode, travel radius, employment situation, HAAS^® experience, machines and skills, availability, whether you have tools, a vehicle and public liability insurance, and anything else you choose to tell us. We use it solely to contact you about engineering work in your area and to judge whether the work would suit you. Lawful basis: your consent, given by the tick box on the form. You can withdraw it at any time by emailing us, and we will delete your record.

That form is hosted by Jotform, who process the submission on our behalf. Their privacy policy is at jotform.com/privacy.

Who else sees your data

• Microsoft — our email and calendars run on Microsoft 365, so anything you email us is stored there.
• Jotform — engineer registration submissions, as above.
• Cloudflare — hosts this website and keeps short-lived server logs, including IP addresses, for security and abuse prevention.
• Google Fonts — the site loads its typefaces from Google’s font servers, which means your IP address is visible to Google when a page loads. We use this only to render the site’s typography; there is no tracking or advertising involved. Lawful basis: our legitimate interest in a legible, consistently presented website.
• Our engineers — where a self-employed engineer attends your site, they receive the contact and machine details needed to do the job, and nothing else.
• Our accountant and, where required, HMRC — for invoicing and tax records.

We do not sell, rent or trade personal data. We do not share it for anyone else’s marketing.

Where your data goes

Some of these providers are based outside the UK or store data outside it. Where that happens, transfers are covered by the UK’s approved safeguards — adequacy regulations or the International Data Transfer Addendum — under those providers’ standard terms.

How long we keep it

• Enquiries that go nowhere: up to 12 months, then deleted.
• Customer and job records: 6 years after the last job, which is the period we need for tax, warranty and liability purposes.
• Engineer registrations: up to 24 months from your last contact with us, then deleted — or sooner if you ask.
• Server logs: a matter of days, handled by Cloudflare.

Your rights

Under UK GDPR you can ask us to: give you a copy of what we hold; correct anything wrong; delete it; restrict what we do with it; hand it over in a portable format; or stop processing it. Where we rely on your consent, you can withdraw it at any time, and that does not affect anything done beforehand.

Email info@squidexsolutions.co.uk and we will respond within one month. There is no charge.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office — ico.org.uk/make-a-complaint, or 0303 123 1113. We would rather you told us first so we can put it right.

Security

This site is served over HTTPS. Access to email and form submissions is protected by multi-factor authentication. We keep the number of people who can see your data to the minimum needed to do the work.

Changes

If we start using analytics, advertising or anything else that collects data about you, we will update this page and say so plainly before we do it.
